Document Scanning and Drawing Scanning(Digital Archiving) Document Scanning couples instantaneous retrieval with long-term storage and makes for an extremely powerful tool in any business and an ideal low cost solution to storage space problems.
Our document scanning department utilises a number of different document scanners to accomplish the turnaround times that customers require when working with 'live' documents. We use IBML, Kodak and Panasonic scanners coupled with our own document management software to supply an easy to use search/retrieval interface. Searches can be done using any of the index criteria requested by the customer. All our work is carried out to the highest standards as required to become a Kodak DCC.
Being a registered Kodak accredited 'DCC' (Document Conversion Centre) requires the highest standards and means all work undertaken is carried out following strict guidelines resulting in all scanned documentation being an exact replica of the original as a whole and as such is legally permissible in courts of law as best available evidence. Scanned documents can also be written to microfilm for those customers requiring an archival backup of their documents.
DOCUMENT SCANNING PROCEDURE Upon receipt of your documents into our document scanning department, the first thing we do is sort them into order (date, number, alphabetical). Next the documents are prepared for scanning. This is achieved by removing any staples, paperclips and other fasteners, unfolding those pages that require it and inserting barcoded document dividers. These dividers ensure that all documents are separated the way you want them. Whilst the document scanning is running, the images are checked by the operator.
When document scanning is complete, the images are imported into our Document Management Software for indexing. The indexing is done to the criteria supplied by you. This could be by name or number, or upto 10 different pieces of information. After indexing, the index data is inspected by our quality control department and corrected if needed. When everything is checked, the CD/DVD is created and printed with all relevant information and delivered back to the customer.

- With our own search, retrieve and viewer software (completely free of charge) with all images, database and free from licensing costs on standalone PCs and networked PCs.
- To allow direct download onto a server or into a database.
- To allow integration into a EDM (Electronic Document Management System).
- Given as straight forward image files (for viewing and searching within Windows Explorer).
- Given in PDF format for viewing with Adobe Reader.
- Full indexing with multiple fields and keywords set up to individual specifications.
Free collection and delivery Scanned images provided in almost any file format. Adobe Reader Package.*(Please see below for details) OCR (Optical Character Recognition) service, using Adobe Acrobat, Adlib Express and Abbyy Fine Reader. Forms Processing. Bar Code indexing. Digital storage and retrieval solutions. Full CD writing, printing and duplicating service.
